Terms of service

The agreement

These terms are between your organisation and SortX Software Ltd, company number 17132612, registered office 9 Lowood House, Bewley Street, London E1 0BT, trading as InboxDuty ("we", "us"). By connecting a mailbox or starting a trial you agree to them on your organisation's behalf. They apply to the InboxDuty shared-mailbox classification service.

What the service does

InboxDuty reads a connected shared mailbox through the mail provider's own change feed, judges each message from text that has had personal data stripped out of it, and writes the result back as the provider's own labels. It keeps a content-free decision record: the decision, the weight distribution behind it and an audit trail.

InboxDuty never stores email content. Message bodies and attachments are read transiently and discarded. The privacy notice explains this in full.

The trial

• •Fourteen days to try the service, with no card required.
• •The clock starts at the first successful mailbox connection, not at sign-up, so a wait on your IT department does not burn the trial.
• •The trial is one per organisation, not one per mailbox. Connecting a further mailbox does not extend it.

Price

The price is per shared mailbox and is stated in pounds sterling. SortX Software Ltd is not registered for VAT, so no VAT is charged.

The annual price is ten months of the monthly price. The price lives on Stripe, not in the product's code, and the landing page repeats it. We will give notice before a price change.

Billing

• •Plans run monthly or annually. The billed quantity is the contracted number of shared mailboxes, not whatever happens to be connected on billing day.
• •If you connect more mailboxes than the contract covers, the increase is prorated and applied only after you confirm it on screen.
• •If you connect fewer, the reduction takes effect at the next renewal, not mid-period.
• •Public authorities can be invoiced on a purchase order. Invoice and purchase-order terms are 30 days from a valid invoice.
• •If an invoice is unpaid after its due date, classification stops 14 days later. Nothing is deleted and nothing already labelled is undone.

When a plan ends

When a plan or trial ends, classification stops and the mailbox is no longer read. Nothing is deleted and no label already written is removed; the inbox stays exactly as it was, merely no longer sorted. The decision record and audit trail are kept for twelve months after the lapse, and then deleted, as the privacy notice describes.

• •Support is by email to [email protected], on UK weekdays from 09:00 to 17:00.
• •We aim to give a first response within one working day.
• •Report a security issue to [email protected].

Availability

We target 99.5% monthly availability. That target carries no service credits, and we publish other targets only once we have measured them.

Your responsibilities

• •You must have the authority to connect the mailbox and to grant the access the service needs.
• •You must use the service lawfully and not attempt to disrupt, reverse engineer or gain unauthorised access to it.
• •You are the controller of the correspondence we process on your instructions, and you are responsible for your own notices and lawful basis.

Data protection

Where we process personal data for your organisation, we do so as its processor on its documented instructions. Our processing is described in the privacy notice. A data processing agreement will be signed with each customer before live mail is processed.

Our intellectual property

We own the InboxDuty software and this website. You keep everything you put into the service, and you receive the results the service writes back to your mailbox.

Liability

Nothing in these terms excludes or limits liability that cannot be excluded or limited under English law, including liability for fraud or fraudulent misrepresentation, or for death or personal injury caused by negligence. Subject to that, our total liability arising out of or in connection with these terms is limited to the fees your organisation paid us in the twelve months before the event giving rise to the claim.

Changes and governing law

These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction. We will give notice of material changes. By using the service you agree to the terms in force at the time.
